Contract
The reservation constitutes a contract with Chawleigh Week Mill (CWM) and by paying the agreed deposit this constitutes a signed agreement without signature from either party being present.
Deposit Payment & Cancellation
Fully Refundable Booking: When booking on our regular rates, a deposit of 50% of the full cost will be charged to your credit card at the time of booking. On these regular rates, this is fully refundable if you cancel your booking 14 days or more before arrival. Should you cancel within 14 days, the deposit isn’t refundable, and we do advise all guests to have travel insurance.
Short Notice Bookings: If you have made Short Notice Booking (defined as less than 7 days prior to arrival), full payment of the total stay will taken at the point of booking. Should you need to cancel, this stay is non-refundable. However we can hold the monies paid, to be used within 12 months of the original reservation date. Should you cancel within 72 hours, the deposit isn’t refundable, and we do advise all guests to have travel insurance.
Large Group / Exclusive Use Bookings: If your booking is over the value of £10,000, a 75% deposit to confirm the booking is required. Should you need to cancel or amend your booking, please let us know more than 28 days in advance of your scheduled arrival date to avoid cancellation charges.
Bank Holiday / Festive Bookings: When booking across a Bank Holiday/Festive dates, a 75% non-refundable deposit is required at the time of booking with the final 25% balance payable no less than 28 days prior to your scheduled arrival
Guest Cancellation: Any guests wishing to cancel their reservation must do so in by email, no other method will be acknowledged as confirmation
CWM Cancellation: In the event of cancellation by CWM, all payments will be refunded in full but please note that CWM is not liable for any costs incurred by the client as a result. Any guests wishing to cancel their reservation must do so in writing.
Final Balance: the remaining balance of your booking payment must be made on receipt of our invoice, which will be sent via email 28 days prior to your scheduled arrival. If not received your accommodation dates may be released and the deposit payment may be forfeited. We shall endeavour to contact you by email to advise of this. We accept bank transfer, Master card or Visa
Arrival & Departure
Check in is available from 1500 hours on the day of arrival. You may request an early check in at the time of booking which we will try to accommodate, however cannot guarantee it will be available. Please be ready to leave the property by 1100 hours. Late check outs can be requested with the Estate Manager on check in, we will always try to accommodate such requests but cannot guarantee this
Price Changes
CWM reserves the right by giving notice to the client at any time before the date of arrival to increase the price of any service including accommodation and food packs/hampers to reflect any increase in the cost to CWM which is due to any factors beyond the control of CWM or to any change in specifications by the client.
Availability
In the rare case that CWM cannot accept a booking, CWM will find guests other accommodation in similar hotel or guest accommodation. The deposit will be refunded in full, and guests will be responsible for payment of their room to the other accommodation providers. CWM will make all the arrangements regarding this.
Dietary / Allergens
If booking the Breakfast/BBQ packs or hampers we would request that any allergy or dietary requirements are notified to us at the time of booking. We will make every effort to accommodate such requests
Activities & Additional Services
Activities booked by CWM carry a surcharge of up to 20% on the booking fee. If outside suppliers or providers of additional services are booked directly, this is done at your own risk and CWM does not hold responsibility for this or the arrangements.
Children
Children are very welcome at CWM. Please note that the Property features an unfenced river bank with a deep water pool and guests are advised that children must be watched whilst outside or engaged in activities near the river.
Dogs
Dogs are also welcome at CWM by prior arrangement at no additional charge. We would politely request that they are kept out of the bedrooms and off of the furniture, and that poo bags are used and disposed of in the bins provided around the estate Any damage to CWM as a result of the dog will be charged accordingly to the Guest.
Smoking
English law dictates that it is not possible to smoke, or knowingly permit smoking, indoors in any public place and this includes the Lodges and Cottage. Smoking is possible out on the deck at the lodges or in the open Courtyard areas of the Cottage. A fee of £1,000 will be charged for the deep cleaning and deodorising if any inside areas have been smoked in. This will be deducted from the card supplied at booking.
Late Payment
CWM reserves the right to charge interest on the outstanding balance at 2% above the Bank’s variable base rate from the date of invoice.
Cancellation Insurance Policy
CWM recommends that an insurance policy against cancellation is taken out by our Guests
VAT
All our prices are inclusive of VAT at the current rate at the time of booking. In the event of any change in the taxation beyond our control CWM may vary the price quoted to any extent which reflects the change. All prices are subject to VAT change without notice.
Liability
Neither CWM nor any employee or agent accepts any liability for any accident, loss or injury to any person howsoever caused. The guest assumes responsibility for all damages caused by them or any of their guests whether in the Lodges, the Cottage or any other part of the Porpertyand its grounds. CWM accepts no liability to the client in the event of any accident loss or damage for whatever reason to any of the client’s property including vehicles. Arrangements should be made to have adequate insurance cover for any accident, loss or damage to the client’s property or vehicles whilst at the Property
Cautionary Deposit
A refundable cautionary deposit will be added to the final balance invoice (or added to the total for Short Notice bookings). The cost of replacing any items that are damaged, broken or missing will be deducted from this before the balance is repaid to you, this includes any Property keys that have been lost. We aim to repay all deposit monies within 7 working days of departure
Damages
We reserve the right to charge guests the cost of rectifying damage caused by the deliberate, negligent, or reckless act of the guest to the Property. Should this damage come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit card or send an invoice for the amount. We will however make every effort to rectify any damage internally prior to contracting specialists to make the repairs and therefore will make every effort to keep any costs that the guest would incur to a minimum. In severe cases the guest will be liable for the loss of revenue that the Property suffers whilst the damage is being repaired.
